Las Ruinas Booking & Management App

Las Ruinas Booking & Management App

We partnered with Las Ruinas to build one booking and membership platform for its guests and staff, so day passes and members stop living in two separate systems.

Day passes, VIP, tours, and bundles were sold through the booking platform. Members, classes, memberships, credits, and gift cards lived in Mariana Tek, a separate studio-management product, and the front desk worked between the two all day.

The owners wanted one platform under their control, with accounts as good as Mariana Tek’s and a day pass that still needs no account. Our objective was to build exactly that, and to keep every session’s count of places exact.

We built the guest side in English and Spanish, with accounts that sign in through a code sent by email, memberships billed by card, guest passes, gift cards, and credits. The new staff desk adds a QR scan at the door, customer search, and one profile for each guest’s whole history. Part of this is live today, and the rest is built and waiting for launch.

Two Systems Behind One Front Desk

Day passes, VIP, tours, and bundles sold through the booking platform. Members, classes, memberships, credits, and gift cards lived in Mariana Tek. The desk worked between the two all day, and a regular guest’s history was split across both.

No Accounts on the Booking Side

A guest could buy a day pass, but there was nowhere to sign in, see their bookings, or hold a membership. Everything account-like happened in Mariana Tek.

A Count of Places That Could Drift

Sessions had no permanent identity, so the places left in a session could drift away from the real bookings. The venue takes about ten guests per 30-minute session, so that count has to be exact.

A Buying Page Below the Venue

The owners asked for the buy-pass page to feel more luxe, closer to what guests find when they walk in.

A Member Side They Did Not Own

Members ran on a third-party product. The owners wanted one platform under their control.

One Platform for Day Passes and Members

The new platform holds day passes, tours, VIP, and bundles alongside memberships, credits, and gift cards, so one guest has one history and the desk works from one record.

Accounts That Need No Password

Guests sign in with a code sent by email. The account area holds bookings, credits, memberships, receipts, and a QR code for entry, while a day pass still needs no account.

A Desk Built for the Day

Today’s numbers, a QR scan at the door, customer search, and one profile that shows a guest’s whole history, Mariana Tek purchases included.

A Design That Feels Like the Venue

The guest pages moved to a dark, quiet layout in English and Spanish, so buying a pass feels closer to walking in.

A booking platform has to be right every day, not just at launch. We built Las Ruinas a platform where guests, staff, memberships, and payments all draw on one schedule, gave every session a permanent identity so the places left are accurate, and brought its members over from Mariana Tek in a full rehearsal, ready for launch.
